Job description

The HelloFresh Total Rewards Team is looking for an exceptionally detail-oriented and experienced Benefits Analyst to serve as the operational backbone for our comprehensive employee benefits programs across the US and Canada. This role is centered on flawless execution, ensuring regulatory compliance, and delivering a superior employee experience. You will manage the full lifecycle of benefits administration, from vendor oversight and meticulous data management to leading annual enrollment processes. Responsibilities and Impact:

  • Benefits Administration Excellence: Lead the end-to-end administrative management of all North American employee benefits, including health, dental, vision, wellness initiatives, retirement savings (401k/RRSP), and complex leave-of-absence plans.
  • Compliance and Risk Management: Ensure absolute and timely compliance with all applicable US and Canadian statutory requirements, including but not limited to ERISA, ACA, HIPAA, COBRA, IRS regulations, Canadian Benefits and Pension legislation. Maintain documentation and support audits as required.
  • Open Enrollment Management: Drive the successful execution of the annual open enrollment process, managing the project timeline, coordinating with internal teams, developing clear and compliant communication materials, and leading employee education sessions.
  • Data Integrity and HRIS Management: Maintain meticulous accuracy of all benefits data within the HRIS (Workday) and other systems. Act as the primary liaison with Payroll to ensure accurate and timely deduction processing, reconciliation, and reporting. Data integrations/feeds with Payroll and external vendors.
  • Financial Analysis Support: Conduct detailed analysis of benefits utilization, cost drivers, and participation trends. Prepare comprehensive reports to support Total Rewards leadership in strategic decision-making and recommending data-backed program optimizations.
  • Vendor and Partner Oversight: Serve as the primary administrative contact for external benefits vendors and brokers. Monitor vendor service level agreements (SLAs), evaluate performance, assist with contract renewals, and support Request for Proposal (RFP) processes.
  • Program Implementation: Execute the operational implementation and wind-down of new and sunset benefit programs, ensuring seamless transitions for employees and compliance across all systems.

Qualifications:

  • Minimum of 5 years of progressive experience in benefits program administration and operations within a complex, multi-state/multi-national organization.
  • Expert-level knowledge of US and Canadian statutory laws and benefits regulations (e.g., ERISA, ACA, HIPAA, COBRA,).
  • Proven proficiency in managing benefits modules within major HRIS platforms (e.g., Workday).
  • Associate or Bachelor's degree in Human Resources, Business, or a related field.
  • Exceptional analytical skills, focused on maintaining data integrity, process optimization, and complex spreadsheet modeling.
  • French or Spanish language proficiency preferred.
  • Outstanding written and verbal communication skills, with the proven ability to translate complex benefits policies into clear, accessible language for diverse employee populations.
