Summary:

The Travel Operations Planning role is crucial for managing and enhancing the company's corporate travel program. This position acts as the main point of contact for travel-related inquiries, support, and disruptions, ensuring a smooth and compliant travel experience. The role involves collaboration with various departments to maintain effective communication and process improvements.

 

Responsibilities:

  • Manage day-to-day administration of the corporate travel program and continuously improve processes.
  • Serve as the primary point of contact for employee travel inquiries, booking support, and travel disruptions.
  • Maintain clear communication through Teams and SharePoint by sharing relevant travel policies, alerts, and updates.
  • Partner with Finance, HR, Accounts Payable, approvers, and executive stakeholders for a seamless travel experience.
  • Manage travel vendors, coordinate regular vendor reviews, and explore new solutions.
  • Reconcile invoices and credit memos, and support purchase orders.
  • Produce various travel reports, including spend, unused-ticket, visitor, regional, and departmental reports.
  • Conduct periodic user audits across Navan and HR systems.
  • Coordinate with visa providers and provide backup approval coverage when needed.
  • Plan travel for major company events and team offsites, including flight coordination and hotel negotiations.
  • Lead future improvements such as expense-management integration and vendor selection.
  • Deliver travel-system training to new employees and ensure scalable processes.

Required Skills:

  • Proven experience in travel operations or a related field.
  • Strong organizational and communication skills.
  • Ability to manage vendor relationships and negotiate contracts.
  • Proficiency in using travel management systems and platforms like Navan.
  • Experience in coordinating travel for large events and managing on-site issues.
  • Familiarity with financial processes, including invoice reconciliation and purchase orders.
  • Ability to work collaboratively across departments and with various stakeholders.
  • Strong analytical skills for producing and interpreting travel reports.
  • Adaptability to lead process improvements and system integrations.
  • Experience in delivering training and scaling processes with organizational growth.
