The successful candidate will coordinate team operations, meetings, events, office management and stakeholder logistics while helping maintain a high standard of organisation, communication and client experience.

We are looking for someone who is highly organised, proactive and detail-oriented, with the ability to manage multiple priorities independently in a fast-paced, client-facing environment. The role works closely with sales, marketing and leadership teams and acts as a key point of coordination across internal and external stakeholders.

Key Responsibilities

Executive & Team Support

  • Independently coordinate team meetings, client events, off-sites and travel logistics from planning through execution.

  • Manage vendors, attendee communications, event timelines and on-site coordination.

  • Ensure high attention to detail and seamless delivery across all events.

Office Management

  • Support the smooth running of the London office, including office supplies, weekly food and snack orders, facilities coordination, meeting room readiness and visitor management.

  • Coordinate internal and external office visits, ensuring a professional and seamless experience for employees, clients and guests.

  • Assist with workplace operations, onboarding logistics and vendor coordination as needed.

Operational Support

  • Build structure and organisation across team operations through trackers, follow-ups and process coordination.

  • Take ownership of tasks through to completion with minimal direction.

Required Qualifications & Skills

  • 3+ years of experience in an executive assistant, office manager, team assistant or operations coordination role.

  • Experience supporting fast-paced, client-facing or commercial teams.

  • Proven ability to manage complex scheduling, logistics and events independently.

  • Exceptional organisational skills and strong attention to detail.

  • Strong written and verbal communication skills.

  • Proactive, solutions-oriented and able to work independently.

  • High level of professionalism, discretion and emotional intelligence.

  • Proficiency in Google Workspace and/or Microsoft Office.

Preferred Qualifications

  • Experience supporting senior commercial leadership teams.

  • Experience managing office operations or workplace logistics.

  • Stakeholders are well-informed and operations run smoothly.

  • Issues are identified early and resolved proactively.
