What you’ll do

  • Define, plan, and execute strategic programs within Fund Administration, including system implementations, process re-engineering, regulatory initiatives, and product enhancements.

  • Operate autonomously, managing complex programs end-to-end without relying on a dedicated team to execute deliverables.

  • Collaborate closely with stakeholders across operations, technology, product, legal, compliance, and client-facing teams to gather requirements, define scope, and align on goals.

  • Effectively manage expectations and maintain strong communication with senior leadership.

  • Build strong cross-functional relationships by understanding organizational structure, key stakeholders, and broader business objectives.

  • Communicate clearly and concisely, simplifying complex topics and tailoring messaging for diverse audiences, including executive leadership.

  • Develop detailed program plans covering timelines, resource allocation, risk mitigation, and budgets. 

  • Drive accountability, track progress, resolve roadblocks, and ensure delivery on time and within scope.

  • Act as a connector and integrator across teams—identify dependencies early, anticipate risks, and keep teams aligned toward shared outcomes.

  • Demonstrate a strong bias for action—take initiative, address needs proactively, and bring forward improvements that drive better collaboration and execution.

  • Analyze existing fund administration processes to identify inefficiencies, implement improvements, and champion best practices and continuous improvement.

  • Lead implementation and integration of fund administration systems in partnership with IT and external vendors, ensuring seamless rollouts and user adoption.

  • Identify and mitigate program risks, ensuring alignment with relevant regulatory requirements and internal policies.

  • Develop and lead change management strategies to support adoption of new systems, processes, or structures with minimal disruption.

  • Provide regular updates on program status, risks, and key milestones to stakeholders, including executive leadership.

Qualifications

  • 7-10+ years of progressive experience in program management, with at least 5 years specifically within the fund administration industry (e.g., hedge funds, private equity funds, mutual funds, alternative investments).

  • Demonstrated experience leading large-scale, complex programs with significant business impact.

  • Bachelor's degree in Business Administration, Finance, Economics, or a related field. Master's degree or PMP certification is highly preferred.

  • Proven track record of successfully implementing new technologies and driving operational efficiencies in a financial services context.

  • Deep understanding of fund administration lifecycles, processes, and regulatory requirements (e.g., NAV calculation, investor relations, transfer agency, compliance, reporting).

  • Proficiency in project management methodologies (e.g., Agile, Waterfall).

  • Exposure to the software development life cycle (SDLC) and comfort working across both technical and operational teams.

  • Strong analytical and problem-solving skills.

  • Strategic thinker who connects the dots, anticipates needs, and reads the room to influence without authority and prioritize effectively.

  • Experience with project management software (e.g., Jira, Asana, Microsoft Project).

  • Familiarity with fund administration platforms (e.g., Investran, Yardi) is a significant plus.

  • Exceptional leadership and team-building skills, with the ability to influence and motivate cross-functional teams.

  • Superior written and verbal communication skills, capable of articulating complex information clearly and concisely to diverse audiences, including senior executives.

  • Strong presentation and facilitation skills.

  • Highly organized with meticulous attention to detail.

  • Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities simultaneously.

  • Proactive, self-starter with a strong sense of ownership and accountability.

Compensation

Compensation for this position includes a base salary, bonus, equity and a variety of benefits. The US base salary is $150,000-190,000 USD. The CAD base range is $120,000-160,000 CAD. Actual base salaries will be based on candidate-specific factors, including experience, skillset, and location, and local minimum pay requirements as applicable.
