Job description

Meet Ascertain

Ascertain is building AI agents to automate the administrative work that burdens care teams. We are in major health systems and large specialty groups, saving hundreds of staff hours every week.

Our backers include Northwell Health, New York’s largest health system, and Deerfield Management, a leading healthcare investment firm.

Together, we’re on a mission to restore time, trust, and focus to the people who keep healthcare running. Our work is urgent — not because of startup timelines, but because our customers rely on us to drive financial resilience and operational clarity in a system under strain.

About the Role

We're seeking a fully remote Partner Operations Manager to lead, develop, and support a team of Partner Operations professionals. This role is focused on building a high-performing team of Partner Operations Associates.

You'll oversee approximately 10–12 Partner Operations Associates and Senior Associates, providing coaching, feedback, performance management, and career development. You'll work closely with your Partner Operations Leads to ensure teams have the staffing, training, and support they need to consistently deliver outstanding customer outcomes.

This role partners closely with the Head of Partner Operations on hiring, workforce planning, and organizational development while remaining deeply engaged in the day-to-day success of your team.

What You'll Do

  • Recruit, manage, coach, and develop a team of approximately 10–12 Partner Operations Associates (also known as Prior Authorization Assistants) and Senior Associates.

  • Conduct one-on-ones, performance reviews, and career development conversations.

  • Support hiring through interviewing, candidate evaluation, and onboarding.

  • Collaborate with Lead Partner Operations Associates to improve quality, productivity, and customer satisfaction.

  • Maintain a limited personal caseload (~25% of your time) to stay current on the work and payer changes.

  • Monitor team performance metrics and identify coaching opportunities.

  • Manage scheduling, PTO, attendance, and day-to-day employee support.

  • Address employee performance concerns and implement development plans.

  • Ensure consistent execution of operational standards across your team.

  • Support organizational change management and adoption of new technology.

  • Escalate staffing or operational risks to the Head of Partner Operations.

What You'll Need

  • 5+ years of healthcare operations experience.

  • 2+ years leading or supervising operational teams.

  • Experience coaching employees through performance management and professional development.

  • Experience interviewing and onboarding employees.

  • Strong understanding of healthcare payer operations.

  • Experience with athenahealth and/or NextGen preferred.

What You'll Bring to the Table

  • People-First Leadership. You develop your team, hold them accountable, and create an environment where they do their best work.

  • Accountable. You own your team's numbers and quality, and you do not pass the buck when something slips.

  • Coaching-Minded. You explain the why behind a process and help people improve without taking over.

  • Detail-Oriented. You keep quality high across a team, not just in your own work.

  • Collaborative. You communicate clearly with your team, your manager, providers, and cross-functional stakeholders.

  • Adaptable. You move easily between manual workflows and AI-powered tools as processes evolve.

Why Ascertain? Make a real difference: Your work will directly impact healthcare organizations and improve patient care. Join Ascertain in transforming healthcare with AI!
