Job description

The Role

  • Event strategy: work closely with the sales team to identify new events and ideate concepts based on key initiatives 
  • Own Luminary's entire event portfolio end-to-end: budget, logistics, on-site execution, and post-event follow-through
  • Run the full range: executive dinners, on-site technical workshops, industry conference presence, and a future flagship conference
  • Program industry conferences: aerospace and defense shows, automotive and industrial machinery events, and AI events to present our research
  • Build the event playbook: pre-event promotion and registration, target account invite lists, staffing plans, run-of-show, booth and demo experience, follow-up sequences, and post-event reporting
  • Own the calendar and the sequencing: which events, which audiences, which quarter, what we're spending, and what we expect back
  • Design events for two audiences: technical engineers who want to see the technology and executives who want to see the business case — and make sure the content, format, and staffing match the audience
  • Develop a workshop training curriculum: Turn technical depth into workshop curriculum, live demos, and speaking submissions that hold up in front of practitioners
  • Determine our target account strategy: who we want in the room, how we get them there, and what happens in the 30 days after
  • Own event data in HubSpot: registration flows, attendance capture, lead routing, and attribution that survives a pipeline review
  • Manage relationships with: vendors, venues, agencies, contracts, and shipping logistics including trade show operations and booth builds
  • Be responsible for sales pipeline from events: Report on every event with rigor, including cost, attendance, meetings held, accounts engaged, pipeline influenced, and what to improve next time
  • Reports to the Director of Marketing: Works directly with Marketing, Sales and Product teams

You

  • 5+ years running B2B events end-to-end, ideally at a technical or deeptech company selling to engineers
  • Have personally executed across the size spectrum — intimate executive dinners through 1,000+ attendee industry conferences — not just one format
  • Process-driven by instinct. You build the timeline, the run-of-show, the packing list, and the follow-up plan before anyone asks for them
  • Obsessive about detail. You have caught the wrong badge name, the missing power drop, and the demo laptop with the expired license — before the doors opened
  • High energy on-site and steady under pressure. Things break at events. You fix them without drama and without waiting for permission
  • Comfortable owning a budget and defending it: what an event cost, what it produced, and whether we do it again
  • Strong writing skills. Event invites, promotional copy, session descriptions, and follow-up emails should not need a rewrite
  • Strong with marketing systems — HubSpot and Salesforce — for registration, lists, and attribution
  • Willing to travel roughly 25-40%, with heavier stretches during conference season

Nice to have

  • Experience in aerospace, defense, automotive, and familiarity with events like NVIDIA GTC, AIAA or NAFEMS
  • Have launched an owned conference or user event from zero
  • Experience with export-controlled or cleared environments and the constraints they place on content and attendees
  • Background in field marketing or ABM, where the event is one motion inside a larger account plan
  • Comfort with production elements: AV, staging, video capture, and turning event content into post-event assets

Not this role if you

  • Need a full events team, an established vendor bench, and an existing playbook to be effective
  • Treat the event as the outcome. The outcome is the pipeline and the relationships that come out of it
  • Prefer a predictable calendar. Event weeks are long, and the schedule bends around customers
  • Measure success by attendance and badge scans rather than accounts engaged and meetings held
