Position Summary

We are seeking an experienced Senior Executive Assistant to support a senior C-level executive in a fast-paced, high-growth environment. This role is responsible for providing comprehensive administrative support, ensuring the executive's time, priorities, and day-to-day operations are managed efficiently and effectively.

The ideal candidate is highly organized, proactive, and resourceful, with exceptional attention to detail and the ability to anticipate needs before they arise. This individual will serve as a trusted partner to the executive, managing complex schedules, coordinating travel, facilitating communication, and helping ensure priorities and commitments are executed seamlessly. Success in this role requires professionalism, discretion, sound judgment, and the ability to thrive in a dynamic environment.

Key Responsibilities

  • Manage complex and dynamic executive calendars, scheduling meetings, resolving conflicts, and ensuring effective prioritization of time and commitments.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting.
  • Organize and support executive meetings by preparing agendas, gathering materials, coordinating logistics, and ensuring follow-up actions are tracked.
  • Serve as a primary point of contact for internal and external stakeholders, facilitating communication and maintaining strong working relationships.
  • Draft, edit, and manage executive correspondence, presentations, reports, and other business documents.
  • Coordinate executive participation in company events, leadership meetings, offsites, and strategic planning sessions.
  • Track key action items, deliverables, and commitments to help ensure timely completion and follow-through.
  • Handle confidential and sensitive information with the highest level of professionalism, discretion, and integrity.
  • Partner with senior leaders, department teams, and cross-functional stakeholders to support business priorities and executive initiatives.
  • Maintain and improve administrative processes that enhance executive productivity and operational efficiency.
  • Anticipate executive needs and proactively identify solutions to support effective decision-making and time management.
  • Assist with special projects and other administrative responsibilities as needed.

Required Qualifications

  • 8+ years of experience supporting senior executives, preferably at the C-level.
  • Proven success managing complex calendars, travel arrangements, meetings, and executive administrative operations.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills with a professional and polished demeanor.
  • Demonstrated ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
  • Highly proactive, detail-oriented, and capable of working independently with minimal direction.
  • Experience coordinating across multiple stakeholders and building effective working relationships.
  • Strong problem-solving skills and the ability to anticipate needs and resolve issues before they arise.
  • Advanced proficiency with Microsoft Office Suite and collaboration tools such as Teams, Zoom, and Outlook.

Preferred Qualifications

  • Experience supporting C-level executives within a high-growth technology, software, SaaS, or private equity-backed organization.
  • Demonstrated ability to build strong partnerships with executive leaders and provide proactive support beyond traditional administrative functions.
  • Experience preparing executive presentations, reports, and leadership meeting materials.
  • Exposure to board meetings, executive leadership teams, or corporate governance processes.
  • Experience coordinating cross-functional projects and executive initiatives.
  • Bachelor's degree or equivalent professional experience.
