The Patient Care Coordinator / Medical Assistant is a versatile clinical and administrative team member who plays an essential role in delivering an exceptional patient experience from check-in through checkout. This position supports both front-office operations and direct patient care, helping ensure efficient clinic flow while providing compassionate, high-quality service to children and their families.

As a cross-functional member of the care team, this individual serves as the first point of contact for patients while also assisting providers with clinical responsibilities, preparing patients for visits, and supporting day-to-day operations. This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, and is passionate about delivering outstanding patient care.

This is a part-time position (approximately 25 hours per week, with flexibility). Evening weekday availability until 8:00 PM is required.

WHAT YOU’LL DO:  

Front Office Responsibilities

  • Welcome patients and families, creating a warm, professional, and patient-centered experience.
  • Manage patient check-in, registration, scheduling, and checkout processes.
  • Verify and maintain accurate patient demographic, insurance, and medical information within the EMR.
  • Answer incoming phone calls, respond to patient inquiries, schedule appointments, and coordinate referrals as needed.
  • Collect copays and assist with other front-office administrative responsibilities.
  • Support patient outreach, appointment reminders, and follow-up communication.
  • Maintain a clean, organized reception area and assist with opening and closing clinic procedures.

Clinical Responsibilities

  • Escort patients to exam rooms and prepare them for provider visits.
  • Obtain and document vital signs, height, weight, and medical history.
  • Assist providers during examinations and procedures as appropriate.
  • Administer immunizations, injections, medications, and perform point-of-care testing within scope of practice and certification.
  • Prepare exam rooms, stock clinical supplies, and ensure equipment is cleaned and ready for patient care.
  • Perform specimen collection, processing, and laboratory support as appropriate.
  • Accurately document clinical information in the EMR.
  • Educate patients and families on basic care instructions and follow-up recommendations.
  • Maintain infection prevention standards and comply with all OSHA, HIPAA, and clinical safety guidelines.

Team Support

  • Collaborate closely with providers, nurses, and clinic leadership to ensure efficient clinic operations.
  • Cross-train to support both administrative and clinical workflows based on daily operational needs.
  • Assist with onboarding and training new team members.
  • Identify opportunities to improve workflows, patient experience, and operational efficiency.
  • Support a collaborative, team-first culture focused on delivering exceptional pediatric care.

WHAT WE LOOK FOR:  

  • High school diploma or GED required.
  • Medical Assistant certification preferred 
  • 1+ year of experience in a medical assistant, patient care, or healthcare administrative role preferred.
  • Experience working in a pediatric or family practice environment is highly preferred.
  • Proficiency with EMR systems and Microsoft Office.
  • Strong understanding of medical terminology, patient privacy, and infection prevention practices.
  • Excellent communication and interpersonal skills with a compassionate, patient-first approach.
  • Ability to balance clinical and administrative responsibilities in a fast-paced environment.
  • Strong organizational skills with exceptional attention to detail.
  • Positive attitude, adaptability, and willingness to support wherever needed.
  • Commitment to teamwork, accountability, and continuous improvement.
