Position Overview:

As an Onboarding Specialist at RemotePeople, you will be a trusted partner to our clients as they hire talent around the world. You will guide clients and their new employees through every step of the onboarding journey, making international employment feel simple, clear, and well supported from day one.

You will manage multiple onboarding cases at the same time, reviewing employee information and documentation with great attention to detail, preparing employment contracts, and coordinating amendments when needed. You will also coordinate medical check-ups where required and partner with internal teams to ensure payroll and benefits are set up on time. Before each employee’s start date, you will make sure everything is in place for a smooth and compliant first day.

More than an administrator, you will act as a consultant: helping clients understand country-specific onboarding requirements, setting clear expectations, anticipating potential blockers, and offering practical solutions. You will bring a solid understanding of employee onboarding processes across different countries, as well as the local employment requirements and practices that shape each case.

Working closely with our Legal, Payroll, Finance, Sales, and Client Success teams, you will help deliver the seamless, high-quality experience RemotePeople is known for.

Key Responsibilities:

  • Manage end-to-end onboarding for employees across multiple countries, from receiving the case through the employee’s first day.
  • Guide clients and employees through onboarding requirements, timelines, documents, and next steps.
  • Review and verify employee information and documentation, ensuring all records are accurate, complete, and compliant before the start date.
  • Prepare employment contracts using internal templates and coordinate contract reviews, signatures, and amendments when needed.
  • Coordinate country-specific onboarding requirements, including medical check-ups, right-to-work documentation, visas, tax forms, and other local requirements where applicable.
  • Partner with Payroll, Benefits, Legal, Finance, and Client Success to ensure payroll and benefits are activated on time and all onboarding requirements are in place.
  • Manage multiple active cases at once, prioritising effectively while maintaining a high level of accuracy and service.
  • Proactively follow up on outstanding actions and signatures; flag potential blockers or risks early, including contracts that remain unsigned after 24 hours.
  • Act as a trusted advisor to clients by explaining country-specific processes, setting expectations, and helping find practical solutions.
  • Support employee onboarding and manage contract amendments throughout the employee lifecycle.
  • Keep client and employee data accurate and up to date across internal platforms and CRM systems.
  • Identify opportunities to improve workflows, documentation, and the overall onboarding experience.

Key Qualifications:

  • Professional fluency in English, both written and spoken.
  • 2+ years of experience in employee onboarding, HR administration, global mobility, payroll operations, or a similar client-facing role.
  • Experience supporting onboarding in multiple countries; experience in EOR, PEO, global employment, payroll, or HR tech is strongly preferred.
  • Good understanding of employment onboarding processes and country-specific requirements, including employee documentation, benefits enrolment, contracts, and compliance.
  • Familiarity with employment contracts and contract amendments, including working from established templates.
  • Strong attention to detail and ability to manage several cases, deadlines, and stakeholders simultaneously.
  • A consultative and customer-focused approach, with confidence guiding clients through complex processes.
  • Proactive problem-solving skills, sound judgment, and the ability to identify and escalate risks early.
  • Comfortable collaborating with Legal, Payroll, Benefits, Finance, Sales, and Client Success teams.
  • Experience using HRIS, CRM, ticketing, and collaboration tools; HubSpot and Confluence experience is a plus.
  • Comfortable working in a fast-paced, remote, global environment and handling confidential information with care.
  • Based in Latin America.
