Additionally, you will serve as the heartbeat of our Santa Monica office, a strong ambassador of our company and local culture, office management, and spatial and event logistics.

Your warm, approachable style, high emotional intelligence, and commitment to discretion and confidentiality will be integral to supporting our executive leadership and cultivating an engaging workplace culture.

Responsibilities

Executive Support (Chief People Officer)

  • Manage complex calendar scheduling, travel logistics, and day-to-day priorities for the Chief People Officer.

  • Handle sensitive, confidential HR, personnel, and organizational planning data with complete discretion.

  • Screen, prioritize, and manage incoming executive correspondence, ensuring timely follow-ups and seamless communication flow.

  • Draft, edit, and proof executive communications, presentation decks, and strategic materials for internal leadership and external partners.

  • Provide support for Board of Directors and Compensation Committee meetings, including compiling materials, taking meeting minutes, and tracking action items.

  • Facilitate communication and alignment between the CPO, the People/Talent teams, and key internal/external business stakeholders.

  • Santa Monica Office Management

  • Oversee day-to-day operations of the Santa Monica office space, ensuring a functional, clean, welcoming, and productive work environment.

  • Act as the primary on-site point of contact for Santa Monica employees, visiting executives, property management, vendors, and guests.

  • Manage office vendor relationships, facilities logistics, physical access/security badges, office supplies, catering, and mail/deliveries.

  • Plan and execute local Santa Monica culture initiatives, team-building activities, holiday events, and hybrid/onsite meeting logistics.

  • Maintain office budget tracking, expense reporting, and vendor invoicing.

  • Qualifications
  • 8+ years of experience supporting C-Suite executives; direct experience supporting a CPO, CHRO, or CEO preferred.

  • Proven experience managing physical office space operations and facilities logistics.

  • Deep experience handling sensitive and confidential HR/personnel information with absolute discretion.

  • Exceptional written and verbal communication skills with high attention to detail.

  • Kind, warm, positive, and proactive demeanor with a strong customer-service mindset.

  • High adaptability to changing priorities in a dynamic, hybrid work setup.
