Recruiting Coordinator

Parasail is building AI infrastructure that gives developers access to fast, reliable, cost-efficient inference across a distributed network of GPUs. We help teams bring AI applications into production and scale them without being tied to a single infrastructure provider.

The Role

We’re looking for a Recruiting Coordinator to own interview scheduling and help make every candidate’s experience with Parasail thoughtful and well organized. You’ll work closely with recruiters, hiring managers, and our leadership team to get interviews on the calendar, handle logistics, and keep everyone prepared and informed.

This role is for someone who enjoys meeting people, solving scheduling puzzles, and getting things done. You’ll bring a welcoming presence to onsite interviews and dependable follow-through to the details behind them. As we grow, you’ll help us find better ways to coordinate hiring across the company.

What You’ll Do

  • Own interview scheduling. Gather availability, coordinate busy calendars across time zones, send invitations, and manage changes for virtual and in-person interviews.

  • Make candidates feel welcome. Be a friendly, responsive point of contact. Share clear agendas and instructions, greet onsite candidates, and help them feel comfortable throughout their visit.

  • Handle the logistics. Arrange meeting rooms, video links, and onsite interview transitions. Help coordinate candidate travel, meals, and reimbursements when needed.

  • Keep everyone informed. Make sure candidates and interviewers have the information they need ahead of each conversation, and communicate changes promptly.

  • Keep things moving. Work with recruiters and hiring teams to anticipate calendar conflicts, resolve last-minute issues, and coordinate next steps and debriefs.

  • Keep our systems organized. Maintain accurate interview schedules and candidate stages in Ashby, and help with recruiting administration and events as needed.

  • Make coordination better. Spot recurring friction and improve templates, scheduling workflows, and the small details that make the process easier for everyone.

What You’ll Bring

  • Experience coordinating schedules, events, or other work with multiple moving parts. This could come from an early-career role, internship, campus leadership, hospitality, or administrative work.

  • Strong attention to detail. You notice missing information, check your work, and keep track of outstanding requests.

  • Clear, warm communication and an interest in helping people feel welcome.

  • Reliability and responsiveness. People trust you to follow through and keep them updated.

  • The ability to prioritize and stay composed when calendars shift or several things need attention at once.

  • Initiative and practical judgment. You take ownership, work through problems, and know when to ask for help.

  • Comfort learning new tools and handling confidential information with discretion.

Nice to Have

  • Experience in recruiting coordination or supporting a busy team’s calendars.

  • Familiarity with Ashby or another applicant tracking system.

  • Experience coordinating onsite visits, travel, or events.

Location: San Mateo, CA. This role requires working from our San Mateo office Monday through Wednesday each week.
