Job title
Property and Maintenance Administrator
Job location
Kensington Office, London
Job description
Born in 1971, the roots of Mulberry are in Somerset, England. For more than fifty years, Mulberry has been a British lifestyle brand, internationally acclaimed for quality and design capturing the Mulberry Spirit.

Sustainability has been part of the Mulberry ethos since the brand's inception, in recognition of our purpose-driven approach, in 2024 we proudly achieved B Corp Certification.

Today, we are a global brand, but our values remain the same; we are committed to improving our impact on people and the planet. To do this our people are honest, dynamic, and community spirited.

If these are values you share, we would love you to join our team.

We're looking for an organised and proactive Property & Maintenance Administrator to support the smooth running of our retail estate.

Working as part of our retail team, you will play a key role in coordinating maintenance activities across our stores, ensuring repairs are completed efficiently, suppliers are effectively managed, and store teams receive a high level of support and communication.

This is a varied role that combines maintenance coordination, supplier management, financial administration and property project support. It's an excellent opportunity for someone who enjoys problem-solving, building strong relationships and keeping multiple priorities moving forward in a fast-paced retail environment.

Key Responsibilities

  • Manage the maintenance ticketing system and shared mailbox, ensuring requests are reviewed, prioritised and progressed efficiently.
  • Coordinate maintenance and repair works with stores, suppliers and contractors, arranging access and scheduling works as required.
  • Obtain quotations and support the review and approval process for maintenance expenditure.
  • Track maintenance requests through to completion, ensuring all required documentation and reporting is received.
  • Carry out store inspections, documenting findings and monitoring follow-up actions.
  • Coordinate planned preventative maintenance programmes, servicing and compliance inspections.
  • Maintain accurate records for equipment, warranties, service contracts, compliance certificates and inspection reports.
  • Support Health & Safety activities across the property portfolio, working closely with relevant stakeholders.
  • Raise purchase orders, process invoices and maintain accurate expenditure records and trackers.
  • Support supplier onboarding and maintain contractor records and documentation.
  • Produce regular reports on maintenance activity, expenditure, open requests and overdue actions.
  • Support property projects including store openings, refurbishments and improvements.
  • Assist with lease administration and maintaining key property documentation.
  • Provide administrative support for warehouse and logistics activities where required.
  • Build effective working relationships with store teams, Area Managers, suppliers and internal stakeholders.

About You

We're looking for someone who is highly organised, detail-oriented and enjoys working collaboratively to deliver great service.

You will ideally have:

  • Previous experience in an administration role, preferably within property, facilities, maintenance or retail operations.
  • Strong organisational skills and the ability to manage multiple priorities.
  • Excellent attention to detail and a high degree of accuracy.
  • Strong written and verbal communication skills.
  • Experience raising purchase orders, processing invoices and maintaining financial records.
  • Confidence using Microsoft Office applications, particularly Outlook, Excel and Teams.
  • Experience using maintenance management, facilities management or helpdesk systems would be advantageous.
  • A proactive and solution-focused approach with the ability to work independently and use initiative.
  • The ability to maintain accurate records and handle confidential information appropriately.

Culture

  • Embrace and demonstrate the Mulberry values and behaviours: honesty, dynamism, and a community-oriented spirit.
  • Support Mulberry to deliver an inclusive culture, through behaving in a way that is open-minded and respectful towards others, and understanding that your views, opinions, and experiences may not always be shared by your colleagues.
  • Act as an ambassador for Mulberry and communicate positively about the brand.

Sustainability

  • As a certified B Corp, we are committed to using business as a force for good. You’ll be encouraged to incorporate environmentally and socially responsible practices into your work, supporting our Made to Last strategy across Climate, Circularity, and Community.
  • Help foster a culture where diversity is celebrated and every individual feels valued, respected, and included. Champion equity, empathy, and understanding in all interactions - internally and externally.

What We Can Do For You

  • Competitive salary
  • Hybrid working (3 days per week in our High Street Kensington office and 2 days working remotely)
  • Generous staff discount and access to staff sales
  • Birthday day off
  • Pension contributions and life assurance
  • Learning and development opportunities
  • Two paid volunteering days per year
  • Access to Help@Hand wellbeing support, including remote GP appointments, mental health support, physiotherapy, personal training and retail discounts
