About Maven
Maven Robotics designs, builds, and deploys intelligent robotics for logistics and manufacturing. Maven is building the first general-purpose robotics system for industrial work. Our mission is to activate autonomous labor at scale and build toward infinitely elastic industrial capacity. We’re a team of engineers, researchers, and operators who have spent our careers working on the hardest problems in AI, robotics, engineering, and autonomous systems. We work at the intersection of advanced research and real-world engineering, turning ideas into prototypes and deployed systems.
At Maven, we build around the realities of industrial work. The robots are designed from first principles for complex physical environments and rigorous commercial standards. They master real tasks that deliver immediate impact, industrial-grade reliability, and intelligence that compounds at scale. We’re growing an ambitious team of people who think in systems, move quickly, and are builders at heart.
About the Role
As an Executive Assistant at Maven Robotics, you will partner closely with and provide high-level support to our CEO, with the potential to expand support to our CFO over time. We're looking for more than someone who can manage administrative tasks—we're looking for a trusted strategic partner who brings positive energy, exceptional organization, and a genuine passion for making things run better.
The ideal candidate is optimistic, proactive, resourceful, and energized by bringing structure to a fast-moving environment. You naturally anticipate needs, enjoy building processes from the ground up, and take pride in creating organization out of ambiguity. This is a highly visible, high-trust role for someone who thrives in a dynamic startup, approaches challenges with a can-do attitude, and enjoys wearing multiple hats across executive support, special projects, and office operations.
What You’ll Do
- Act as a strategic partner to the CEO, understanding priorities, anticipating needs, and ensuring time and attention are focused on the highest-impact work
- Own complex executive calendars and inbox management, proactively managing scheduling, communications, priorities, and follow-ups
- Coordinate meetings, travel, agendas, and logistics while anticipating needs and resolving issues before they become blockers
- Serve as a trusted point of contact for employees, candidates, investors, partners, and external stakeholders, handling sensitive information with professionalism and discretion
- Build and improve processes, systems, and workflows that bring greater organization, efficiency, and consistency to executive and day-to-day operations
- Support office management and workplace operations, including vendors, supplies, team meals, visitors, and other needs to keep the office running smoothly
- Take ownership of special projects and operational needs, bringing structure, creativity, and practical solutions to ambiguous problems
What We’re Looking For
- 6+ years of Executive Assistant experience, including significant experience supporting C-level or senior executives, preferably in a technology company or technical environment
- An upbeat, optimistic, and energetic personality with a genuine enthusiasm for helping others, solving problems, and contributing to a positive team environment
- A passion for organization and process improvement—you love creating structure, building systems, and finding smarter, more efficient ways to get things done
- Demonstrated ability to operate as a strategic partner, anticipating needs, understanding the bigger picture, and exercising independent judgment
- Exceptional organizational and time-management skills, with experience managing complex calendars, executive inboxes, and rapidly changing priorities
- Excellent written and verbal communication skills, with a warm, approachable, and professional communication style
- A proactive, resourceful, and can-do attitude with a strong sense of ownership and the ability to remain adaptable and solutions-oriented in a fast-paced environment
- Ability to work onsite in Santa Clara, CA
Nice to Have
- Previous support for a founder, CEO, or multiple senior executives
- Background in an early-stage or high-growth startup environment
- Familiarity with robotics, AI, hardware, or another deeply technical industry
- Exposure to office management, workplace operations, or vendor coordination
- A track record of building processes and bringing structure to fast-moving environments
