Job Summary
Kairos Power is seeking a motivated, experienced, and knowledgeable People Operations Specialist, who will work under the supervision of the People Operations Director. Responsible for supporting the Human Resources department with the day-to-day operations including On-boarding, Benefits, Timekeeping, HRIS, Data Analytics, Leave Administration and Payroll.
Responsibilities
General
- Act as first point-of-contact for employees on People Operations matters and general inquiries, and direct employees requests to the appropriate People Operations staff as needed
- Manage and support our benefits, well-being & perks programs, including but not limited to medical, dental, vision, life, 401K and disability insurance coverage; Flexible Spending Accounts (DC/HCFSA), commuter benefits, and COBRA
- Maintain employee medical files and coordination of medical reviews
- Manage and support Leave of Absence program to ensure compliance with polices and legal requirements
- Responsible for overall data integrity of employee and employment records in HR and benefits systems
- Support filing of Benefits tax returns and required audits
- Responsible for EOI coordination with employees and benefits providers
- Compile data analytics and reports such as EEO-1 and DFEH reporting
- Manage and support our immigration program and handle employee and/or candidate inquiries on immigration sponsorship matters
- Partner with Accounting to support payables related to HR and support timekeeping system through education and employee and management requests
- Responsible for coordination of state payroll tax filings and updates in the HRIS /Payroll system
- Have understanding and working knowledge of people related policies, and assist in interpretation of such policies and standards to all levels of the organization
- Support the performance review process, and provide guidance to employees and managers
Onboarding & Employee Support
- Responsible for new employee on-boarding including new hire orientations
- Conduct background checks and verify work eligibility through E-Verify and I-9 process
- May assist with expense reporting for HR team, as needed
- Coordinate with IT and TA teams to ensure new employees receive proper equipment
- Ensure employees are enrolled in benefit plans and follow-up with broker to make needed changes and updates
- Responsible for coordination and implementation of various off-boarding tasks
- Take an active role in ensuring an exceptional onboarding experience
Qualifications
- Bachelor's Degree in related field (Human Resources, Business, or Communications) or equivalent combination of education and experience preferred
- Minimum 3-5 years of Human Resources experience
- Strong Knowledge and skills related to HRIS, labor laws and regulations
- Comfortable creating reports and data analytics
- Ability to manage multiple projects at once with strong attention to detail
- Sense of urgency with follow-up on issues brought to HR’s attention
- Ability to interface with highly technical staff, employees and management
- Strong knowledge of Microsoft Office – Outlook, Excel, Word, PowerPoint
- Ability to work with highly collaborative team
- Ability to solve problems quickly and efficiently
- Prioritizes and ensures safety of one self and others
- Ability to proactively collect, manage and transfer knowledge
- Ability to seek different and novel ways to create efficiencies when working on problems, challenges and issues

The salary range for this position is $84,700 to $99,700 for employees working onsite at our Alameda, CA headquarters. The range provided in this job posting represents the typical range or starting rate of candidates hired in California. Factors that may be used to determine your actual salary may include your education, experience, knowledge, skills, abilities, the market data for your work location, and a comparison to other employees already in the role.
